We are committed to protecting the confidentiality and security of the information that you provide to us and we put in place appropriate technical, physical and organisational security measures to protect against any unauthorised access or damage to, or disclosure or loss of, your information.

General protection

We ensure that our systems are kept up to date with security patches, use antivirus protection and place them behind a firewall that blocks as much unwanted traffic as possible. In addition, we routinely test the security of our systems using a variety of third parties.

We ensure that any third parties processing personal information on our behalf have effective security measures in place to protect your information.

My Account protection

Identification: we use email address and passwords to access our online account management site. When you first sign up we will ask you to enter your unique customer number and complete some memorable information that can be used to identify you at a later date should we need to.

Encryption: when you sign in we establish a link with your computer and Police Mutual. This link is encrypted and all of the information is converted into an encoded form before it’s sent over the internet, preventing other users reading the information.

Session time-out: if you forget to sign out, or your computer remains inactive for a while, we will automatically sign you out. You will need to sign back in to return to what you were doing.

Automatic lockout: after a number of incorrect attempts to sign in, change your email address, password or security questions we will disable online access to your account. To re-activate your account, call us on 01543 441 630.

Last sign in date and time: the date and time is automatically logged every time you sign in to the secure area of our site. This will be displayed every time you sign in. If you’re concerned that the last sign in date and time is incorrect you should change your password immediately.

Email: we will never send you an email asking you to validate your identity and/or any of your online security information. If you are suspicious of an email that seems to have come from us, call us on 01543 441 630.

Protecting yourself

We are committed to protecting the confidentiality and security of the information that you provide to us but there are also precautions you can take to protect yourself from becoming victim of a security incident.

Basic device security: we strongly recommend that you protect any device you own from unauthorised use by using passwords and/or PINs. If your device supports it, we recommend that you encrypt it as well. You should also take up additional security offerings from your email service provider to add authentications that can detect when you login in from a different device. Do not use the same password at work that you do for your personal devices.

Firewalls: most computers and routers have built-in firewalls, which protect them from some of the dangers on the internet. Never switch off your firewall (unless you’re a computer expert and know what you’re doing).

Security patches: always keep your operating system (like Windows or iOS), your internet browser (like Internet Explorer) and software up to date.

Viruses: it is essential that you have up to date anti-virus software to protect yourself from computer viruses. It is also crucial that you update your software regularly. We also recommend that you run your anti-virus software scan regularly – you can usually set this up to run automatically so that you never forget.

Wireless networks: if you use a wireless laptop or device to go online, refer to the manufacturer’s instructions to ensure that you use it securely. All wireless connections should be password protected using WPA or WPA2 encryption to stop others accessing your network.

Public and shared computers: it is always best to use your own computer on sites that reveal personal information. If you aren’t able to do this, it’s important to check that the computer you use has an up to date firewall plus anti-virus and anti-spyware software. We also recommend that you don’t use computers that are available to the general public, like internet cafes.

Viewing your information online: you will have to sign in to view your information online and therefore it is safe and secure. If you share your computer with others we recommend that you close your browser window after signing out. Depending on the settings of your computer, some of your information may remain in the cache (memory) after you have logged out and we recommend that you clear your browser history.

Email: Don’t open emails from unknown senders and if you are in doubt it is advisable to delete it. We recommend that you do not open unexpected attachments and Police Mutual will not include attachments to any emails sent from the email addresses listed in this policy.
